> **TL;DR** You have three real options for depositing a paper check without driving to a branch: your bank's mobile app, a virtual mailbox that handles physical deposits for you, or mailing the check directly to your bank. Mobile is fine for one-off small checks; a virtual mailbox is the only option that scales when you receive checks regularly in the mail.

## Mobile deposit

Almost every US bank now supports remote deposit capture in the consumer app: snap a picture of the front and back of the endorsed check, type the amount, hit submit. It's free, the funds usually appear next business day, and for one-off personal checks it's the right tool.

The catch is that mobile deposit was designed for individuals, not businesses:

- Daily and per-check deposit limits, often $5,000 or $10,000.
- You still have to physically possess the paper check.
- Endorsement compliance ("For mobile deposit only at [Bank Name]") is on you, every time.
- If the photo is rejected, you have to retake it. With dozens of checks, this becomes a part-time job.

## Mailing checks to the bank

Most business banks accept paper checks by mail. You endorse the back, fill out a deposit slip, and stick it in a USPS envelope. This is fine for the very occasional check, but two things make it painful at scale:

- Mail in transit is mail that hasn't cleared. A check mailed Monday doesn't reach the bank until Wednesday or Thursday, and doesn't post until Friday.
- If a check is lost in the mail you have to chase the payer for a replacement, and most payers (especially insurance companies and government agencies) take six to eight weeks to reissue.

## Assisted deposit via a virtual mailbox

Modern virtual mailboxes will physically deposit checks on your behalf. The process looks like this:

1. The check arrives in your mail at the virtual mailbox facility.
2. The facility scans the front and back; AI extracts the payer, amount, and memo.
3. You see it in your dashboard, review the extracted fields, and approve it.
4. Staff endorses the check on your behalf — under a Limited Power of Attorney you've signed — and physically deposits it. If your bank is local, in person; otherwise, by overnight mail to the bank.
5. The deposit clears on your bank's normal schedule.

With mailnow.ai specifically, processing happens within 24 hours of receipt and same-day deposit happens when your bank has a branch local to our facility. See [how check deposit works on mailnow.ai](/checks) for the operational details.

## Which one to use when

- **One-off personal check, low value.** Mobile deposit on your bank's app.
- **Business that occasionally receives a check.** Mobile if the amount is under your limit; virtual mailbox if you want it off your plate entirely.
- **Business that receives multiple checks per week.** Virtual mailbox with assisted deposit. The time savings outweigh the per-check fee within the first few items.
- **Reliable monthly checks (subscription customers, royalty payments).** Virtual mailbox or, ideally, ACH if the payer will switch.

## A note on endorsement and compliance

For a third party to deposit a check on your behalf, you have to grant them legal authority. The standard mechanism is a Limited Power of Attorney specifically scoped to endorsing checks payable to you. A reputable provider will collect this from you up front, store it encrypted, and reference it on each deposit. If a provider offers to deposit checks for you without ever asking for an LPOA, that's a red flag — they're either taking on legal risk you're not aware of, or they're not actually depositing them.

## Frequently asked questions

### Can someone else deposit my checks legally?

Yes, with a Limited Power of Attorney that specifically authorizes them to endorse checks payable to you. This is a standard arrangement and any reputable assisted-deposit service will require it.

### How fast is assisted deposit compared to mobile deposit?

Both clear on your bank's normal schedule. The wall-clock difference is mostly the handoff: mobile deposit is instant if you have the check in hand; assisted deposit adds the time for the check to arrive at the processing facility, then 24 hours to deposit.

### Are there limits on assisted check deposit?

Generally no per-check limits — the limits are set by your bank, not the deposit service. The processing fee is per check rather than a percentage.
